Additional Fees and Information

Extra Persons : Each person above the first eight guests adds $30 per night to the rent. (Holidays, $37.50). Adults and children are counted. With tax, the additional person fee is $34.59.

Exit clean : $400 

Tax : 15.3125%. On rent and cleaning we are required to collect the 8.3125% New Mexico Gross Receipts Tax and the 7% Santa Fe Lodging Tax.

Damage Deposit : $500 refundable damage deposit. Refund will be sent within two weeks of your departure unless there are damages or extra cleaning fees over the prepaid amount, in which case we will notify you.

Reservation Deposit and Payment : The reservation deposit requires one-half of the total cost to be paid within 7 days of verbal reservation, along with submission of the signed rental agreement. The final balance is due 60 days prior to arrival. 
Once you confirm your dates with us, please email your address and phone numbers (cell, home, work) and the likely number of guests (including breakdown of couples, singles, and children with ages and gender) for preparing the rental agreement. We will send the paperwork by email, and you'll need to print it out, sign and return the rental agreement with your reservation deposit within 7 days. Or you scan and return it via email and pay electronically. 
We accept payment by personal check, bank draft or electronic check/direct bank transfer, and we will accept credit card payments via Paypal with the payment of their 3% fee. We prefer for one person to coordinate payments. 
If your head count changes, we will adjust the extra person fees later, even up to the time of your stay. If you need more time to gather payments from group participants or if you would like to break the deposit into two payments, please contact us. We are also willing to work out payment schedules.

Bed Configuration : We'll also need your preferred bed configuration to enter into the housekeepers' instructions. If you don't know now, we need to know as soon as your head count settles down and at least two weeks prior to your arrival. After then, changes made to the set-up instructions will be subject to extra cleaning fees if extra time is required to change out the beds. It takes a good amount of time to install the twins to kings option, due to the layers of bedding necessary to make them comfortable.

Cancellation Policy : The cancellation policy is that we will give you a full refund, less $100 administrative fee, if we are able to rebook your dates to another group. Thus the earlier the cancellation, the better. Groups plan well in advance, and waiting until the 60-day deadline lessens the chances of filling the space. This policy is in place to protect us from people making bookings just to tie up the place, yet who are not firmly committed and later cancel, leaving us with unfilled dates. We need people to make their bookings when they are ready to commit. If we cannot fill your dates, your damage deposit and exit cleaning fee will be returned. Tax is still due on the forfeited rent.
However, if there are serious circumstances that conflict with the trip such as a death or other tragedy, we will certainly work with you on a refund or moving your booking to other dates. We will of course be understanding in difficult circumstances, as we have been before for a couple of groups dealing with such challenges.
If you need to shift your dates, we will always try to accommodate you.

Pets : $25 per pet per night. Additional $500 damage deposit. Sorry, no cats due to guests' allergies. Let us know if you would like to bring your dog and we will send you our Pooch Policies for your review and acceptance. Written permission must be given for dogs. Please send the age, breed, and name of your dog. Please don't bring young pups needing to chew--It will get very expensive if they chew the Oriental rugs or antique furniture! Dogs may not be left alone at the house unless they are in a crate. We have two crates to lend. Dogs at the house not pre-approved will cause forfeiture of the damage deposit.

No Smoking : Capitol Casa is a smoke-free house. Smoking is allowed outside only in the private back patio garden and on the front porch. Smoking anywhere inside the house will result in forfeiture of the damage deposit.
